RAI Amsterdam chooses M-Files and GeONE

International trade fair and congress organisation gives context to documents thanks to metadata

RAI Amsterdam , the largest exhibition and conference organisation in the Netherlands, has chosen M-Files as its central platform for managing its documents. RAI Amsterdam has started with contract management in M-Files. With M-Files, RAI Amsterdam ensures that all documents are provided with context for greater grip, efficiency and good findability. The conference organisation has opted for GeONE, a specialist in optimising document and information management, to provide support and implementation.

With M-Files, RAI Amsterdam has opted for a future-proof platform where documents are managed using metadata. These metadata provide extensive possibilities for managing, finding and securing all conceivable types of documents and file formats. Thanks to advanced versioning and permission management, RAI Amsterdam not only creates a firm grip on its documents, but also on the related processes and tasks.

Break through location-based approach

Lloyd Tan, application administrator at RAI Amsterdam, explains how the choice for M-Files came about: “For our clients, we make every effort to make an event a success. To facilitate this, we were looking for a document management platform that would support us in this. We found this in M-Files. M-Files is entirely based on metadata. We are moving away from a location-based approach with folders and hard drives and are fully focused on creating context around content. We use metadata to add properties to documents; for example, we link documents to a file, expiry date, location or an owner. This in turn gives us extra possibilities in creating overviews, managing permissions and automating document processes. In addition, M-Files includes extensive version management that gives us full control over the life cycle of documents. What’s more, M-Files is incredibly easy to use, both on our laptops and on our mobile devices.

The choice of GeONE as implementation partner

In addition to choosing a platform, RAI Amsterdam was looking for a strong implementation partner and quickly found GeONE: “After we had made a shortlist of possible partners, GeONE quickly emerged as the winner. We expect a lot from their unique GeONE project methodology, called Build & Play. Using the Build & Play method, we involve our employees, remain in continuous control and M-Files will soon connect seamlessly to our processes. Because GeONE is also an M-Files Partner of the Year, this gives us confidence in their approach”, says Tan.
